Sr. Manager (HR/Admin-Manila, Phillipines)

Primary Purpose: Be a lead catalyst in the maintenance and growth of the Philippines operations as part of organizational strategy. Effectively managing the Human Resources and administrative functions at Philippines site of the organization, Recordflow. Ensure close collaboration with India office to achieve the strategic and operational goals of Organizations.

Human Resources Functional Responsibilities:

Talent Acquisition:

Ensure to prepare, maintain and update job requirements and job descriptions for all positions at Philippines site.
Ensure effective and efficient Recruitment and Selection of candidates for Philippines site of organization.
Effectively build and execute the bulk hiring (Ramp-up) strategies at the Philippines site to ensure that timely availability of the requisite resources.

Induction and On boarding:

Ensure proper documentation for all new joiners in the organization including but not limited to getting up performance expectation.
Effectively ensure that performance parameters and performance expectations are explicitly informed to all employees.

Employee Life cycle management:

Effectively work with operations and manage all stage of employee life cycle – like, probation completion, probation extension, performance appraisal etc.
Effectively manage the Internal Job Posting process of the organization.
Effectively ensure that all employer documentation is scanned and properly maintained in a shared drive with back-ups available at India location.

Performance Evaluation and Compensation Appraisal Management:

Effectively plan, support and monitor the biannual Performance Evaluation process.
Ensure process documentation of employee performance parameters and compensation Revision history.

Employee Relations:

Effectively engage with employees as a one-o-one/skip level meeting and address employee grievances.
Ensure effective support to operations is managing low performers by helping in documentation of counseling logs and managing-performance improvement plans.
Effectively handle and ramp-down plan basis the business requirement and effectively handle and any employee litigation associated with the same.

Employee Engagement:

Run employee engagement survey annually and publish result.
Effectively conduct weekly engagement activities in line with employee engagement calendar.
Prepare weekly employee engagement calendar and share the same with Operations.
Effective budget and event management of team outings and other weekly or annual employer engagement activities.

Off-boarding Management:

Effectively manage the off boarding process with timely closure of employer credentials.
Effectively conduct exit interview and publish result of the same.

HR-Reporting and Analytics:

Publish inputs for week on week recruitment traction.
Update and publish-attrition dashboard, Issue log report basis employee issues.
Publish various reports on employee Compensation.
Site-HR budget management.

Payroll & Compliance:

Responsible for attendance management, leave management and salary for all employees at Philippines office.
Ensure all statutory payment done on time like SSS, PHIC and HDMF.
Ensure DOLE Audit happens with effectively as per TAT.
Maintain Occupational safety & health standard as per registration under rule 1020.
Maintain roaster for workers against designation, hired date and wage rate.
Ensure all pay slips & time sheet to be maintained.
Maintain labour contract and agreements for workers.
Maintain documentation related to payment & remittance of statutory.
Maintain list of resident & non-resident alien workers.
Ensure Registration with SEC/ DTI /Mayors Permit, Company Policy and practice on benefits voluntarily give to workers and Financial Statement for the year.

Administration Activities:

Manage and supervise HR & Admin associate compliance officer.
Track facility running expenses and manage the same on day to day basis.
Ensure facility up time @ 99.9% by effectively managing facility.
Ensure all bill payment done on timely basis like phone bills, electricity bills etc.
Effective manage all administration with safety and hygiene at Philippines office.
Responsible for vendor management.
Ensure all expenses will meet cost effectiveness as per given budget.

Work Relations:

Internal:

Reporting to VP – Global HR Head for all admin and functional purpose.
Interfacing with key executives, managers and employees of respective business unit
Interfacing with the Leadership team to support strategic and business goals, and provide detailed insight into business performance with the perspective of HRBP of respective business unit.

External:

Interface with government bodies, external agencies and vendors for any administrative and financial purpose.
Interface with Professional Networks.
Interface with best practice organizations.
Interface with suppliers/ vendors.

Qualification:

Post Graduate in Human Resources from a reputed institute.

Demonstrate skills in various HR functional areas (especially employee relations, coaching and change management) with the ability to work at all levels of the HR stack (strategic, operational and tactical).

Experience:  7-10 years

Minimum 7 years of relevant experience.
A proven track record with excellent academic background
High level of computer proficiency, primarily Excel/PowerPoint.
Sound knowledge of Federal Policies & Practices.
